01Who We Are and What This Covers

This Privacy Policy explains how PhoneViewer (“PhoneViewer,” “we,” “us” or “our”) collects, uses, shares and protects personal information when you visit phoneviewer.com, contact us, or use our managed social media services and PhoneViewer Enterprise (together, the “Service”).

Please read it together with our Terms of Service. Information we handle inside our customers’ social media accounts is covered in Section 4.

02Information We Collect

Information you give us

When you contact us, sign up or work with us, you may give us your name, email address, phone number, business name, social media handles, billing details, details about your brand (such as its tone, voice and posting preferences), the names and email addresses of people you ask us to give a client login or send reports to, and the content of your messages.

When you send one of our forms (the contact form on our website, the page our business cards link to, or the client sheet we send to new clients), we store what you enter (such as your name, email address, phone number, business details, brand preferences and message) in our inquiry system so that we can follow up. To prevent spam, we also keep a one-way hash of your IP address with each submission, not the address itself.

Social media accounts we operate for you

To provide the Service, you give us the login details and any access codes needed to operate the accounts you designate. While operating those accounts, we handle their content, including posts, comments and direct messages, and information about the people who interact with them, such as their names, handles and anything they choose to share. We also sort and tag inbound leads, which you can view through your client login, and prepare monthly reports on engagement, posts added and follower stats.

If you use your client login, we process your login details and the activity needed to provide it.

Information collected automatically on our website

Like most websites, our hosting and security provider processes technical information when you visit, such as your IP address, browser type, device information and the pages you request. We also use Cloudflare Web Analytics to count visits and see which pages are viewed. It doesn’t use cookies and doesn’t track you across other websites. Our pages also load fonts from Google Fonts, which means your browser sends a request, including your IP address, to Google.

03How We Use Information

We use personal information to:

  • Provide, operate and support the Service, including operating the accounts you designate
  • Respond to inquiries and communicate with you about the Service
  • Set up and manage your account and process billing
  • Sort leads, provide your client login and prepare reports for you
  • Keep the Service, our devices and our website secure, and prevent fraud and abuse
  • Improve how we deliver the Service
  • Comply with legal obligations and enforce our Terms of Service

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases: performing our contract with you; our legitimate interests in running and securing our business and responding to inquiries; complying with legal obligations; and your consent where it is required.

04Information We Handle for Customers

When we operate a customer’s social media accounts, we handle personal information about the people who interact with those accounts, such as the senders of direct messages. We do this on behalf of, and under the instructions of, our customer, which is the business that owns the account. That business decides how this information is used and is responsible for its own privacy notices and obligations.

If you contacted a business whose account we operate and have a question about your information, please contact that business directly. If you contact us instead, we will refer your request to the business and help it respond.

05How We Share Information

We do not sell personal information, and we do not share it for targeted advertising. We share it only in these situations:

  • Service providers that help us run our business, such as hosting, security, analytics and our inquiry database (Cloudflare), website fonts (Google Fonts), email and communication tools, payment processing and file storage. They may use the information only to provide their services to us.
  • Social media platforms. Operating an account means acting within a platform on your behalf, so information shared there is also handled by that platform under its own privacy policy.
  • Your team, when you ask us to share leads or reports with specific people.
  • Legal and safety reasons, when required by law, or to protect the rights, safety and security of our customers, our people or others.
  • Business transfers, in connection with a merger, acquisition or sale of assets, subject to this Privacy Policy.
  • With your permission, in any other case.

06Cookies and Similar Technologies

Our website does not use advertising or tracking cookies. Our analytics (Cloudflare Web Analytics) works without cookies. Our hosting and security provider may set strictly necessary cookies to protect the site against abuse. As described in Section 2, our pages load fonts from Google Fonts.

Our client sheet saves your answers in your browser’s local storage as you type, so you don’t lose them if the page reloads. They stay on your device and are cleared when you submit the sheet. You can also clear them at any time through your browser settings.

Because our website does not track visitors across other websites, it does not respond differently to “Do Not Track” browser signals. If we add other analytics or tracking tools in the future, we will update this policy first.

07How Long We Keep Information

We keep personal information only for as long as we need it for the purposes described in this policy. After that we delete or anonymize it, unless we must keep it longer to meet legal, tax or accounting obligations or to resolve disputes. In particular:

  • Login details and other information you provide: until the Service ends. At that point we sign out of your accounts, delete them, and factory reset the iPhone or iPhones dedicated to your business. If you stop the Service for a single account, we sign out of it and delete its login details.
  • Account content, leads and reports: for as long as you are a customer, and for a limited period afterwards in case you need copies, unless you ask us to delete them sooner.
  • Inquiries: for as long as needed to respond and to keep a record of our conversation.
  • Billing records: for as long as the law requires.

08How We Protect Information

We use reasonable administrative, technical and physical safeguards to protect personal information. Each client’s accounts are operated on iPhones dedicated to that client, and access to customer accounts and login details is limited to the people who need it to provide the Service.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you as required by law.

09Your Rights and Choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and get a copy of it
  • Correct information that is inaccurate or incomplete
  • Ask us to delete your information
  • Object to or restrict certain uses of your information
  • Withdraw your consent, where we rely on consent

To make a request, email hello@phoneviewer.com. We may need to verify your identity before acting on it, and we will respond within the time required by applicable law. We will not discriminate against you for exercising these rights. If you are in the EEA or the UK, you also have the right to complain to your local data protection authority.

If we send you marketing emails, you can unsubscribe at any time using the link in the email.

10International Data Transfers

Our team includes people who work remotely from the United States and other countries, and our service providers operate globally. This means personal information may be accessed or processed outside the country where you live, including in places with different data protection laws. Where required, we use appropriate safeguards for these transfers.

11Children’s Privacy

The Service is intended for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has given us personal information, please contact us and we will delete it.

12Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will let customers know by email or through the Service before they take effect. The “Last updated” date at the top of this page shows when it was last revised.
